CANCELLATION AND REFUND

Cancellation by Participant: If you can’t make your retreat and need to cancel your booking greater than 90 days out, your full payment will be refunded. If you need to cancel less than 90 days, but greater than 30 days, we offer a 50% credit to a future retreat within 2 years. Refunds or credits are not available if you cancel less than 30 days prior to your retreat start. We recommend participants obtain suitable travel insurance to cover any cancellations.

There are no refunds or credits if you have flight delays or cancellations, arrive late, or leave early for any reason and including injury, illness, bereavement, or are directed to leave due to antisocial behaviour. You may transfer your booking to another person at any stage prior to the retreat start date at no cost.

Cancellation by Geocentric: If Geocentric must cancel a retreat due to not gaining a minimum number of participants, we will attempt to give 30 days’ notice and offer a transfer to an alternate retreat or a full refund.

Geocentric reserves the right to modify or adapt the advertised retreat without notice, in the interests of participant safety, because of actual or predicted adverse weather, dangers such as floods, fires etc, changing government and health requirements, or other reasons.

No refunds or credits will be available due to retreat cancellation in a Force Majeure event outside of the reasonable control of Geocentric, whether or not foreseeable, which renders the retreat impossible. This includes but is not limited to, acts of God, natural threats or disasters such as bushfires, wind storm, floods, earthquakes, or other extreme weather events, epidemics, pandemics, civil disturbances, war, acts of any government authority

TERMS AND CONDITIONS

These terms and conditions form an agreement between Geocentric Pty Limited ACN 099271575 (“Geocentric”) and the participant referred to on the booking form and/or in attendance at the retreat (“Participant”). By making a booking and/ or attending a Retreat/ Tour you agree and accept the Terms and Conditions set out on this page.

Respect

Our retreats are group trips, and it is essential for all participants to be aware of how their actions may affect others. Respect and consideration are vital, and both participants and staff members must act accordingly towards individuals' differences, including protected attributes such as race, gender identity, and religion. We value diversity and inclusivity and strive to provide a welcoming environment for all participants.

Cancellations and Refunds

Acknowledgement waiver and release

All participants will be required to read, accept and sign the Geocentric Acknowledgement Waiver and Release form included here and on the online booking form.

Inclusions and Exclusions

The inclusions and exclusions are listed for each retreat on their specific website page.

Airport Transfers

Where the retreat includes an airport transfer, participants must arrive at the designated meeting location by the appointed time.  Late arrivals who miss the transfer departure may be required to arrange and pay for their own transfer to the retreat destination.

Bikes and Personal Equipment

Geocentric accepts no liability for any loss or damage to participants’ equipment at any time during the retreat, including while being transported, at accommodation, or at other venues. Participants must always check their bikes are securely attached to the bike trailer/ and or rack.  Private insurance for your bike and possessions is recommended.

Minimum Number Participants

Retreats require a minimum number of participants to proceed and in the very unlikely situation that these are not met, Geocentric reserves the right to cancel a retreat and will attempt to give participants 30 days notice.  You can elect to have your booking transferred to a suitable future retreat of equivalent value or receive a full refund. Travel insurance is recommended for other individual cancellation expenses you may incur.

Itinerary Changes

Geocentric reserves the right to modify or adapt the advertised retreat without notice.  This might be in consideration of participant safety such as adverse weather, floods, fires etc.  It may also be due to government and health requirements, supplier cancellations or other reasons.

Evacuations

If due to injury or illness, you require an evacuation, including from remote areas, the full cost of the evacuation is the responsibility of the participant.  This may include but is not limited to helicopter costs, any associated staff wages and ground transportation costs.  Ambulance cover and travel insurance are recommended for all participants.

Insurance

We highly recommend that all participants obtain appropriate travel insurance. Please ensure that the insurance product you choose covers, at the very least, personal accidents or injuries, medical expenses, Force Majeure Events, emergency evacuation/repatriation, personal liability, cancellation for any reason, delayed flights, lost luggage, and personal effects.

Medical Conditions

Participants must provide full disclosure of any pre-existing medical conditions, including allergies, on their booking form. Depending on the circumstances, they may be asked to provide a doctor's certificate or complete a confidential medical questionnaire.

Dietary Needs

We request all participants disclose any specific dietary requirements they may have. This includes both allergies and lifestyle choices. It is important for us to be aware of any dietary restrictions to ensure that we can accommodate everyone's needs appropriately.

Acceptable Behaviour

We would like to inform all participants that respectful behaviour is expected throughout the duration of the tour. We prioritise creating a safe and inclusive environment for everyone involved. It is important to treat fellow participants, staff members, and local communities with respect, kindness, and understanding. Any behaviour that goes against these principles, such as but not limited to harassment, discrimination, anti-social or disrespectful actions, will not be tolerated. In the event that a participant fails to adhere to these expectations, we reserve the right to remove them from the retreat for the well-being and comfort of others. We appreciate your cooperation in creating a positive and enjoyable experience for everyone on the tour.

Image Release

Participants agree to allow their photograph, video, multimedia or film likeness and or name to be used for any legitimate purpose by Geocentric, it’s sponsors, partners or assigns without notification, payment or compensation.
